Customer Responsibilities

A smooth name change is a partnership. Here's what we handle — and what we ask of you.

1. Accurate and Complete Information

You are responsible for ensuring that all names, addresses, dates, spellings, document numbers and other information you provide are accurate and complete. Your Gazette documentation is prepared strictly on the basis of the information you supply. Any correction required because of incorrect, incomplete or misleading information may require fresh documentation and additional charges.

2. Disclose the Intended Use First

Before your Gazette is drafted, please tell us the exact purpose(s) for which it will be used — for example Aadhaar, PAN, passport, bank records, educational certificates, EPFO or property. Different authorities have different documentation requirements, and disclosing your intended use lets us prepare the documentation appropriately. Where the intended use is not disclosed in advance, any re-drafting later may attract separate charges.

Aadhaar cases in particular

If your Gazette is primarily for an Aadhaar update, tell us before drafting. Where applicable, the existing name in the Gazette should match your current Aadhaar record exactly, including spelling, initials, spacing and sequence.

3. Review the Draft Carefully

You must carefully review the draft before granting final approval. Once you confirm the draft for processing, changes generally cannot be made after submission to the Government Press, and any later correction may require fresh documentation and additional charges. Read every detail — especially the exact spelling of your old and new names.

4. Disclose Name Variations

If your name is spelled differently or takes different forms across your documents, disclose every variation before drafting. Undisclosed variations are a frequent cause of updates being rejected later.

5. Provide Genuine Documents

All documents you provide must be genuine. Submission of forged, fabricated, altered or misleading documents is strictly prohibited, and we reserve the right to refuse service where this occurs.

6. Stay Reachable and Respond Promptly

Please remain reachable on your registered mobile number and email, and respond promptly to queries and requests for documents. Delays in payment, draft approval or providing documents will delay processing.

7. For Minors

For an applicant below 18, the parent or legal guardian is responsible for providing accurate information and the necessary supporting documents, and for the correctness of all information submitted.
